You can search for, display, and perform actions on existing WorldTracer files.

Tips:

Use the Manage transaction if you know the file reference number, or Search if you know the bag tag number.

Use the Advanced Search to search for and send a list of file references to an email or other address, using the Send Results to Destination Addresses fields.

Field Descriptions (in Files and Search)

There is a separate Search and Manage transaction for each type of WorldTracer file.

Transaction Description
Search — Basic

Use when you are looking for a specific file and already know information such as the bag tag number or passenger name.

This is the default Search transaction.

Search — Advanced

Use when you are looking for a list of files created by a specific station and airline.

Note: By default, the Advanced Search searches for files that are Open and Suspended. Use the drop-down list in the File Status field to search for files with another status.

Manage

Use when you are looking for a specific file and know the file reference.

Displays a list of the last 50 files (of one type) that you have displayed or updated in your current login session.

 

Manage Files

The options to manage a file are listed in the triple-dot menu. The options available to you depend on the type of file, its status, the handling authority of the file, and the permissions in your role.

Here is a summary.

Option in Triple-dot Menu Description
Add User Comment

Adds a comment in the file to describe any event related to the file.

These comments inform other agents about the progress of the file, when it is processed by multiple agents.

Note: You can add user comments to a file, regardless of the handling authority.

Assign to Me For Headquarters agents. See Assign a Message or File to Yourself.
Close and Create Damaged See Convert Delayed to Damaged.
Close File See Close Files.
Confirm to Claims Pushes a Delayed or Damaged Bag File to the Claims Investigation module and starts the matching process. See Manage Claims Investigations.
Create Another Creates another file of the same type, unrelated to the file you have just created.
Create Another for Same Passenger See Create an On-Hand Bag File (Unclaimed Bags).
Create Delivery Order See Deliver a Bag.
Display File Display details of the file in a succinct format.
Display Inventory and Claim Info

Displays information provided by the passenger in the Baggage Inventory and Claims form (BICF) using WorldTracer Self Service, including attached receipts and documents.

Only available if the airline has subscribed to this service, and this option is included in your role.

Extend Tracing Generally used by the station responsible for secondary tracing. See Extend the Tracing Period.

Forward Bag to Headquarters

For an On-Hand Bag only. See Forward a Bag to Another Station.

Mark as Resolved For Headquarters agents. See Mark Claim Resolved in a File.
New Message

Notify Passenger See Contact Passengers.
Override Match Delay

Print Form Prints or downloads a PDF form stored for your company. WorldTracer data is not included in the form. See Print or Manage Forms
Quick Update

To add or modify essential information in the file from a single screen.

Reactivate File

See:

Reactivate Tracing for files in the active WorldTracer database.

Work with Past Date Files for files in the WorldTracer past date database.

Reassign File

Reassigns the file to another station or airline.

Example: when a file was created for an incorrect airline.

A new file reference is created, and WorldTracer automatically closes the original file.

Recreate File See Close Files.
Refresh Bag Journey History

For companies that subscribe to Bag Journey. Displays the latest updates for the bag as tracked by Bag Journey. Only available to the airline who owns the file.

Rematch File Generally used by the station responsible for secondary tracing. See Rematch a Delayed Bag File.

Request Bag

Request Quick On-Hand Bag

See Request an On-Hand Bag.
Suspend and Create Damaged See Convert Delayed to Damaged.
Send File

Sends a copy of the file in text format to an email or Telex address.

Suspend File

See Suspend or Reinstate Tracing.

Transfer

Transfers a message to a file.

Update File

Saves the information you have added or modify in the file.

 

Print Options

Print options are available from the Print icon at the top right of the screen.

Print Option Description

Print Property Irregularity Report

Sends the Property Irregularity Report (PIR) to a printer.

You can select additional information from the file to include in the PIR.

Tip: To change the station and airline details prefilled in the PIR to better match the passenger's destination, enter the Station and Airline fields and click Apply before you print the report.

Send Property Irregularity Report

Sends the Property Irregularity Report (PIR) to an email or SMS.

When sending the PIR to an email address, you can select additional information from the file to include in the email.

Print Form Only available if your Coordinator has uploaded forms for your company.
Print File / Print File with History Prints the currently file, with or without its history.
